Replacement title process with exempt odometer is now manual

We wanted to let you know that there is a new system for processing replacement titles. With Montana’s new system, handling replacement titles with an exempt odometer is now a manual process. 

Under the old system, when an exempt transaction was submitted, the mileage was not recorded. This is because the mileage was not a requirement for any vehicle older than 2011. With the new system, an odometer is required even if the vehicle is exempt. Because of this change, any transaction that was processed within the old system does not have a recorded odometer, thus resulting in an error when requesting a replacement. 

The new process is manual, and we do apologize for the inconvenience. If you encounter an error when requesting a replacement title, you must cancel your request and submit an email to NTXsupport@vitu.com requesting a manual replacement title due to the vehicle being exempt. Please include the full VIN and that you are requesting a manual replacement title. These requests will be submitted to the MVD through their internal ticketing system, and a new replacement title will be issued. Once processed by the MVD, our processing team will retrieve the title and ship it to you. As always, the processing team will email you with tracking information.

Odometer corrections

Odometers cannot be corrected with only a Statement of Fact. If the mileage reading or date are wrong, a new conforming odometer statement will need to be provided with the Statement of Fact stating what the error was.

Power of Attorney signature (POA)

Please remember when signing for a customer using a POA, while it is preferred to have the signature as “John Smith by Jane Doe POA”, we will accept your signature with POA after; however, it is a state requirement that the name of the person who gave POA (registered owner) accompanies the signature “John Smith Jane Doe POA” (Jane Doe being the signature of the dealer’s agent).

Submitting a Power of Attorney

The only time a POA must be submitted for the transaction is when a registered owner has given a dealership authority to sign on their behalf. If your dealership has POAs for other dealers that give you agent signing authority, please DO NOT include those POAs and just sign as agent. If POAs for other dealers are submitted, it creates an issue with odometers. These should be kept on file for your dealership in case it is ever needed, but they should not be included with the transaction. 

Purchasing name

Please be mindful of the state forms being used, as some may require not only the company purchasing the vehicle but also the agent's name if the agent is signing for the company. However, if only the agent's name is entered as the purchasing dealer and the dealer’s name is not included, it will create an error as there is no way to identify the purchasing dealer.
