We are so excited to have held our first regional Lunch n’ Learn event in Bowling Green on June 11, 2025. Our event was held at the Bob Kirby Library. This was followed by a Lunch n’ Learn in Hazard, Perry County on July 16, 2025 at the Perry County Public Library.

The purpose of these events is to bring together your dealership staff, County Clerks, your Vitu team and the partnerships of KADA, Champ and Tyler.

These regional events are an opportunity to unify the dealership staff and the County Clerks while learning the processes of both the Vitu and Champ systems the counties use. Understanding each system and the processes of completing an EVR transaction from submission to an issued plate, registration and title application.

During lunch, we review each system and answer your questions. This open forum offers a great opportunity for discussion of your recommendations for system enhancements and future transactional needs.

As we watch for our transactions to be completed and approved, rejections may also occur. These rejections can happen for various reasons such as incomplete paperwork, EVR errors or scanning resolution.

Now that the state receiving system is being integrated with KAVIS, it will be even more important to limit rejections in future EVR transactions. This integration will allow County Clerks to quickly and efficiently send transactions with a single process directly to the KAVIS system. However, with a direct connection to KAVIS, any erroneous or incomplete documentation can slow down transaction completion.

In an effort to avoid future rejections, we will support you. Our staff will monitor rejection reports and send you emails outlining the rejection with the solution to complete the transaction.

At the request of the Kentucky County Clerks, we have updated the document order of scan upload  — which is important to assist in the review flow when auditing by both the County and State. This simpler flow is helpful because it allows for quicker processing of your Title and Registration.

To prevent rejections, always take a quick look at your documents for completion prior to scan and upload. One missing document or data field can cause a rejection.

For your reference, we have a new one-page handout to follow for the updated order of document scans. This, as well as other Vitu Kentucky handouts, can be found in Vitu under the Resource tab.

An EVR title and registration application can be submitted to your County Clerk or the County Clerk of your purchaser.

With an electronic title and registration solution, it has never been easier and more efficient to send a title/registration transaction, including lien filings and releases to the counties your customers live. County Clerks across the state welcome your transactions.

With the option to add delivery (direct mailing of registration and plate) to customers, your work is complete upon approval. No need to send a runner to pick up, or additional costs to the dealership for postage. NO MORE STUFFING ENVELOPES!

The delivery option may vary if submitting to your rooftop county. Due to local staffing and time constraints, some counties may opt out of the delivery option, requiring pickup of the registration and plate.
