When submitting paperwork to the Vitu Office, please make sure the applications are staple-free. This makes it a lot easier on our audit team to efficiently audit and scan each document, so everything is submitted to the state in a timely manner.

Additionally, please make sure to include bundle cover sheets. This is how we receive paperwork, and when they are not included, it takes more time for the applications to be ready to audit, which could delay them from being submitted to the state. Our motto is, "Rush to Get It Done," as we aim to have everything sent out on the same day it is received.This is the default rich text value.

Corrections on Titles

When correcting something written on a title, an Affirmation of Correction (AOC) needs to be submitted as well. Illinois SOS provides a generic AOC that can be used for multiple errors except mileage corrections, or you can create your own on your dealership’s letterhead with a statement explaining the error and what the correction is. If an AOC is submitted, please make sure that the correction being explained in the statement is also made on the title.

Correcting Mileage

If the mileage is printed incorrectly on an Illinois title, please submit letters from the seller (the owner listed on the title), the dealership, and the current buyer acknowledging the incorrect mileage that was printed and confirming what the correct mileage is.

However, these letters to fix incorrect mileage only apply to Illinois titles. If the mileage printed on an out-of-state title is incorrect, the mileage needs to be fixed in that state prior to trying to obtain an Illinois title.

If an out-of-state title is surrendered with higher mileage, this application will be returned to your location for you to correct the mileage in that state. When running NMVTIS reports, please be mindful of the recorded mileage. If the mileage is listed higher in another state and that state never updated the mileage on NMVITS, the mileage will need to be corrected in that state.

Rules for Duplicate/Corrected Titles

When submitting duplicate or corrected applications, the state will accept copies of the original Power of Attorney (POA) that was used when the applicant first purchased the vehicle. It is required that the application is signed by or for (using a POA) the person listed on the application. Please remember that when submitting applications to receive duplicate or corrected titles, the title application has to be in the name of the owner on the title. One cannot submit a duplicate title application with the dealer listed as the buyer on the application, but the title is in the name of John Doe (for example). This will not only cause an error at the state, but it will also need to be voided, and a new application with the applicant will need to be submitted.

Signatures

Wet signatures are required on Secure Power of Attorney forms (SPOAs). Docu-sign or stamps placed on the signature line on a POA will cause an error at the state and can lead to a delay.

Take advantage of using previously paid taxes in Vitu should your location have paid taxes before completing the deal. This can be used if (any one of the following):

  • Taxes were paid on a deal voided in Vitu
  • Taxes were paid through another ERT Service provider
  • Taxes were paid through MyTax Illinois

The Use Previously Paid Tax Return feature is only available prior to taxes being submitted for the current deal/completion.

In order to use this feature on a pended deal with inventory assigned must meet the following criteria:

  1. User is able to complete transactions
  2. Taxes already paid are in the same month when the deal was originally created. For example:
    1. A Deal created in September and taxes previously paid in September, this can be done. Continue to the steps below.
    2. A Deal created in October, but taxes previously paid in September, this can not be done. The deal will then need to be re-created by an User who is able to complete transactions selecting PPTR upon re-creation and new inventory will need to be assigned.)

Looking at the criteria for 1 and 2.1 above, , a user who has permissions to complete deals has to partially void the deal. This process entails selecting Void/Tax/Reg, then choosing Reserve Inventory and going into the now available Sale Info section to make alterations.

Make sure to check off the box acknowledging that all the information input is correct.

If your location paid taxes twice on a vehicle, then please submit an amended version of the tax return to the Department of Revenue to correct information and get the money refunded. You can find the amended tax forms (such as ST-556-X, ST-556-LSE-X, RUT-25-X and RUT-50-X) under Resources.

Inventory Returns Deadline: What You Need to Know

Please remember that all inventory returns must be received in the Vitu Office no later than the 25th of each month. Submitting your returned inventory on time helps our warehouse team reconcile returns accurately and ensures correct billing for your account.

Missing Inventory? Submit Police Reports by the 25th

If any inventory is missing, a police report must be submitted in its place. Please make sure to: 

  • File the report with your local police department as soon as possible to ensure you receive the official documentation on time.
  • Notify our Warehouse team right away that inventory is missing and that a police report will be provided.
  • Ensure the official police report is received in the Vitu Office by the 25th of the month for it to be considered for credit.

Seasonal Relaxation

Let's get spicy this month! Pumpkin spice, that is!

Fall is a time of change, of comfort, of joy, and of peace. Have you ever noticed that fall seems to bring a gentle calm into your life unlike any other month? It is a time where we can take a breath, slow down, enjoy our coffee or tea a little bit more as we look at the changes happening in nature all around us. Fall color is amazing! Oranges, yellows, and reds abound all around us amidst the greens. People seem calmer, walking in the welcome coolness of a nice fall evening. We start to decorate our work and home areas with pumpkins and leaves that reflect the season. Sweaters and hoodies start to come out of storage as the days get a little shorter, a little cooler, and the nights get a little longer. Favorite movies that celebrate the season start popping up on our TVs, inviting us to just curl up with a light blanket and sit, relax, and enjoy them, quietly feeling an inner peace that is so different than the other months of the year.

Yes, October is a very special month. During this wonderful month of YOU, we also think about taking some downtime for ourselves, of taking care of ourselves. It is so important to take care of "us" — if we don't do it, who will?

Remember to still take the time to stretch while at work — get up and walk a bit every hour or so, to keep up your energy levels and to keep that relaxed feeling flowing through you as you power through your day! As the days get shorter and the nights get longer, try and get some morning sunlight in your eyes to help your biological clock (circadian rhythm). Some people benefit from using a special light during the fall and winter months to help them to wake up and sleep better, and help ward off Seasonal Affective Disorder (SAD). It is a real thing, and affects a lot of people during these shorter days and longer nights.

This month’s Treat for YOU 

Now, let's talk about spice! Do you like pumpkin spice? I recently learned how to make a guilt-free, sugar-free, pumpkin spice ice cream, and a pumpkin spice coffee ice cream. I will share the recipe with you, and next month I will share a different recipe with you for another guilt-free item that you can enjoy during the upcoming holidays. 

For the totally guilt-free ice cream, you will need 1 pint of heavy whipping cream, 5 egg yolks, 2 capfuls of real vanilla extract or a vanilla bean, and 6-10 packets of stevia leaf powder or monk fruit. That is our base. It makes for a delicious vanilla ice cream. To make it more fall-like, add a teaspoon or two of Pumpkin Spice, and if you love pumpkin spice lattes, add a tablespoon or two of instant coffee crystals.

Mix it up with a hand mixer, or a whisk, or stand mixer. If you have an ice cream maker, you can then add it to the machine. If you don't have an ice cream maker, do not despair! Just put it in the freezer for 45 minutes, then mix up again for a few minutes, then back in the freezer for 2 hours. Then enjoy this delicious guilt-free treat!
