Effective immediately, Personally Identifiable Information (PII) must NOT be sent via email.

PII includes information such as:

• Names
• Addresses
• VINs
• Date of birth
• Social Security numbers
• Financial account details
• Any other sensitive personal data.

This also includes photo/scanned copies of documents with PII information on them such as:

• Bundles
• Titles
• Odometer disclosures
• Power of Attorneys
• Shipping labels
• And so on

Email is not a secure method for transmitting this type of information and creates unnecessary risk.

To keep your customers’ information safe, please only share PII through approved secure systems in accordance with company policies and compliance requirements. If you are unsure what approved systems to use, please reach out to your dealership's IT department for further instructions. If you are unsure whether information qualifies as PII or how it should be transmitted, please reach out to our support team before sending.

A little attention to paperwork order makes a big difference. Placing your Vitu file copy on top of your paperwork, then organizing transactions in the order listed on the bundle, helps us audit faster — and helps you quickly confirm everything needed is included before it’s sent.

To keep things moving, please leave out plate copies, purchase agreements and fee quotes. Skipping those extras helps streamline the process for everyone.

And honestly, most of the time, it’s clear how much care you put into preparing your bundles — it shows. From what we see every day, the vast majority of you truly understand how important DMV title and registration paperwork is, not just for your dealership, but for your customers as well.
