Account Reconciliation Reports vs. Bundle Cover Sheets

Account Reconciliation Reports are utilized for posting fees.  This report does not give all necessary information needed to process your bundle. 

Attaching the correct bundle cover sheet allows our team to process applications promptly ensuring that the majority of your submitted deals, if not all received, go out the same day. Please do not use any Account Reconciliation Report as a bundle cover sheet.

NMVITS reports are no longer needed (and some tax forms, too) 

Good news! NMVTIS reports do not need to be included within the application. 

In addition, tax forms may not be required. Unless taxes were paid outside of Vitu or previously paid taxes were selected, tax forms do not need to be included with each application.

Double-check your paperwork before submission 

We have noticed some assignments on titles are not being filled out completely for the current buyers. Please verify that the assignments are filled out and listed  in the correct order from seller to dealer, and dealer to current buyer. Think of your paperwork telling a story — who owned what and when.

Here’s a little reminder for three states whose title numbers can be a bit tricky to remember:

• California and New York — the title number is the date issued. 
  
  • Written as 4-digit year 2-digit month 2-digit date 
  • Example: A purchase date of 10/4/202 makes the title number 20241004
    
• New Jersey — the title number is located on the bottom right of the title.

Avoid delays: send your inventory returns to the Warehouse team properly

Please remember to send inventory returns separately and not with your bundles. Since the Retail Audit team and the Retail Warehouse team are two distinct departments, they receive and process mail at different times. Delays or misrouting can result if returns and bundles are sent together. To ensure your inventory is properly tracked and accounted for, please address all inventory returns directly to the Warehouse team.

Account for returned inventory to avoid fees

It’s important to ensure that the status of all inventory being returned by your dealership is properly updated. First, mark any items as Damaged or Void as appropriate. Then, navigate to the Return Inventory section and update the status of all items being shipped back to us as Returning and include the corresponding tracking number provided by your shipping carrier. Any inventory that is not properly accounted for under one of these statuses will be considered billable.

For our Illinois dealers titling and registering vehicles in Wisconsin

Below are some important dates and fees to remember:

Effective August 1, 2025

• WisDOT has implemented a wheel tax (annual county vehicle registration fee) of $40 for the City of Fitchburg. This fee applies to vehicles with registrations expiring in July 2025 or any vehicle registered on or after August 1, 2025.

Future fee increases and dates to keep in mind: 

Effective October 1, 2025

• $50 fee increase on titles, making the new fee $214.50 
• 10% increase in Gross Vehicle Weight (GVW) plates that applies to:
  
  • 8,000 lbs. Light Trucks (LTK), and 
  • Heavy Truck (HTK) plates up to 80,000 lbs.
• $2 increase on Replacement Plates (previous $4 fee, now $6) 
  
  • The special plate replacement fee will not be affected

Effective January 1, 2026

• The City of Neenah will see a $30 wheel tax that will affect vehicles with registrations expiring in December 2025 or any vehicle registered on or after January 1, 2026
• New license plates — Blackout and Retro — will become available
