As of March 25th, 2026, all electronic registration and title transactions are fully integrated with the Kentucky Automated Vehicle Information System (KAVIS). This integration results in faster review and turnaround times for your transactions. 

KAVIS will automatically return error messages within your deal if the transaction does not meet expectations based on the current state record. Error codes and guidance to correct them are located in the resource tab within Vitu, or by clicking the image below.

This document was updated with the latest errors since the integration of Duplicates and Transfer with Assignment transactions and will continue to be updated when new error messages are released, so be sure to review often.

One of the most common errors is Duplicate VIN Found. This error occurs when the vehicle was previously registered in Kentucky, sold out of state, then returned to Kentucky. In this case, the previous Kentucky record is still active in KAVIS. This requires a manual cancellation of the record by the Kentucky Transportation Cabinet and occurs in both ERT and paper submissions.

The advantage for ERT users is that when our customer support receives this request for resolution, we can work with our state partners to resolve the error faster than if the request were pulled and sent by paper. Simply send an email to kysupport@vitu.com with the VIN and error and we will notify you when the transaction is ready to finalize.

The most common rejection we see with dealer assignment and transfer with assignment transactions relates to the expected fee within the deal. When should the fee be $6 or $8?

The previous owner section within the deal applies to the current title or assignment holder, and the selection made in this section dictates the fee. So, how do you get the fees to populate correctly?

If the previous owner is:

  • Individual, Business or OOS (Out of State Title, either Individual or Business) = $8
  • Dealer (Kentucky) to Dealer (Kentucky) = $6

If additional assignments are needed, each must be included by selecting Add Additional Dealer Assignment.

Integrated Transfer with Assignment transactions now require your dealership to be included in the chain of custody. To do so, select Add Additional Dealer Assignment and start typing your dealership name until it is located in the drop down box. Complete the date of transfer and the odometer reading, and the dealer license number should auto populate.

The dealer number will not include the licensing year “26.” If the year is included, an error will return. In this case, remove the year. KAVIS expects a 7 digit dealer number — if the license number is less than 7 digits, add 0’s to the beginning until 7 digits are visible.

A change of ownership within your dealership that results in filing a new application with the Kentucky Motor Vehicle Commission also requires a new KYELT application to be submitted and approved by the Transportation Cabinet. 

When your dealership receives a new dealer number, and KYELT has been approved, we will need to update the Vitu record. To do this, please send an email to kysupport@vitu.com

In the event that a refund is needed after the ACH processes has been completed, follow these steps:

  1. Initiate a refund request with the County Clerk where the transaction was processed
    • The county clerk works directly with Tyler Technologies on the refund process and and Tyler Technologies refunds Vitu.
  2. Request the Refund Request form via email at kysupport@vitu.com
  3. Return the completed Refund Request form via email to kysupport@vitu.com
  4. Our accounting department will verify we have received the refund
  5. The funds will be issued back to the dealership via check, ACH, or account credit
